Meeting Notes: 29th September 2011

1.Present: John OShea (JOS), Ian Burley (IB), Richard Draper (RD), Dave Kemp (DK), Richard Sellers (RS), Steve Bull (SB), Brendan Rogers (BR), Nick Bissaker (NB), Pat Courtney (PC), Tom Durkin (TD), Richard Green (RG), Nigel Field (NF), Paul Collins (PCO)

2.Apologies: Dave Crutchley (DC), John Bott (JB)

3.PC Chaired the meeting in the absence of Chairman (PCO to retain Chairmanship for 2011/12 season).

4.Nominees for Fixture Secretary - SB nominated and seconded, - SB to be Fixture secretary for 2011/12

5.Chair thanks Fixture Secretary - PC thanked SB for another good year of fixtures in 2011

6.Nominees for Handicap Secretary - JOS nominated and seconded, - JOS to be Handicap Secretary for 2011/12

7.Nominees for Treasurer - PC nominated and seconded, - PC to be Treasurer

8.Collection of monies - PC reported an increase in the society funds for this year to £1750. PC reiterated that monies, cash/cheque, must be in by the Thursday night 9 days prior to a competition with no exceptions.Where spaces are limited this will also be on a first come first served basis.

9.Nominee of Captain - RD to be captain for year 2011/12

10.Nominee of Vice Captain - TD nominated and seconded - TD to be Vice Captain following committee vote

11.Nominee of Committee Members - JB, BR, IB, RG, NB nominated and seconded as committee members for 2011/12

12.Review of Joining Fee - Joining Fee to remain at £10 for existing members and £30 for new members

13.Review of Match Fees - Current fee of £40 to stay the same

14.Standing order incentive proposed last year to be withdrawn

15.Proposal to move the Whyder Cup to March/April by JOS - PC has approached Mike Varney and a date will be forthcoming shortly. Places will now be calculated from member's best 5 scores from the opening 6 games of the 2011/12 season.

7.Nominees for Treasurer - DK and PC nominated with DK managing books and PC collecting monies - DK to be Treasurer with PC collecting

12.Review of Joining Fee - Joining Fee to remain at £10 for existing members and £30 for new members

13.Review of Match Fees - Current fee of £40 to stay the same

14.Standing order incentive proposed by IB - S.O to be actively encouraged. Initial penalty for non use was overruled and proposal of discount in joining fee accepted - New joining fee of £8 if paid electronically and remains at £10 if not paid electronically

15.Players Player trophy proposed by JOS - New trophy established to be voted on by all members and announced on Captain day - Players Player trophy to be established for Captains day 2010

16.Most improved player trophy proposed by IB - New trophy for most improved player to be established for 2010/11 year - Format of tracking most improved player to be decided after Captains day

17.Penalty points on tour proposed by JOS - JOS and PC proposed penalty of 2 points for 1st place and 1 point for second place over tour days - Penalty points reintroduced on tour

18.Data Entry proposed by NB - JOS to go out in first or second group on match days to allow for data entry at end of day - To be reviewed by NB and JOS after start of next year to see if needed

19.Par Alteration proposed by SB - Last month 1st 3 holes par decision made by JOS - If this happens again the holes are to be played as per the card regardless.

20.Wearing of ties by committee members on match days proposed by IB - Committee members are to wear society tie in the Crown on match days in order to encourage wearing of ties by members and as way of acknowledging Marks contribution - Committee members to wear society ties in Crown on match days and comes into force in November

21.Order of play sheet proposed by JB - Order of play sheet to be filled out by Vice Captain as draw takes place to allow members to know which group they are in - RD to carry out this role as a duty of the Vice Captain

22.Debit card for payment of deposits proposed by SB - Debit card to be ordered by DK to allow SB to pay deposits over telephone rather than having DK to send cheque - DK to look into debit card

23.Thanking of Chair by JOS - Captain thanked PC for chairing AGM

1. TOUR: Deposits have been received from 21 Tourers and whilst we have secured a further 3 golf places it was agreed that due to lack of tee times numbers would be capped at 24 golfers & 1 non-golfer. Settlement of the balance is required by the July competition.Applications for the Tour will close at the next meeting.

2. CAPTAIN'S DAY: Public liability insurance for the DJ will cost approximately £50 and will be covered by Society funds.
3. CAPTAIN'S DAY: Deposit set at £25 per head. We will start chasing these from the next competition.

4. CAPTAIN'S DAY: John to enquire with Ansty Hall to see if we can have use of a room for changing/showers before Captain's Day. - STILL OUTSTANDING

5. TREASURER'S REPORT: The bulk of competition monies are now being paid in advance & are being collected alot easier since the introduction of internet payments/7-day rule.

6. TIES: Nick Bissaker has received the ties and will distribute them shortly.

Meeting Notes: 4th March 2010

1. Given the level of interest, we have extended the number of places available for the summer tour to 24 golfers. Currently, 17 places have been taken. Any places not taken up by members after the March competition will be opened up to guests.

2. Point raised about securing a coach for the March competition at High Wycombe - VOTED DOWN by the committee.

3. Captain's Day deposit set at £25 per head.

4. John to enquire with Ansty Hall to see if we can have use of a room for changing/showers before Captain's Day.

5. Dave Crutchley raised suggestion of changing future Captain's Day dates - VOTED DOWN by the committee.

6. Nick Bissaker to chase up supplier with regards to new society ties
